Why Can't I Find an Email, File, or Backup Date?

An empty search does not by itself prove that the backup was lost. Check the source, selected date, filters, and backup coverage before changing settings or running a restore.

Check Where You Are Looking

  1. Confirm the domain at the top of the console and the original user account.
  2. Use Restore from > Workspace Users for a user's data, or Restore from > Shared Drives for a Shared Drive. A Shared Drive is not the same as a user's Shared with me files.
  3. Select the correct app. For Drive, Contacts, Calendar, or Tasks, check the chosen backup date and recovery point.
  4. Clear search text, folder or group restrictions, and date filters. Try a shorter file name or message search, then check other result pages.
  5. For an item deleted or overwritten recently, inspect a recovery point from before the change.

In Gmail, browse all backed-up mail as well as the expected label. Use Reset filters in the date filter menu when the date range might be hiding messages. Gmail's message date filter is not a selector for the day a backup job ran.

Check Whether the Item Was Protected

Ask a Domain Administrator to verify these settings and the corresponding backup history:

Possible cause What to check
User or app was not enabled User selection and Backup Options, followed by a successful backup for that user and app
New employee was missed Automatic backup settings, selected organizational units, available user allowance, and the employee's first backup
Shared Drive was not selected The separate Shared Drives settings and active paid license
File was shared with the user Backup files Shared with me and access to that file
Drive file was excluded Drive Advanced settings... exclusion rules
Permission or storage failure The specific user or app error in History > Backup History

An enabled setting describes what future jobs should attempt. It does not confirm that an earlier backup included the item.

Why Are Older Versions or Dates Missing?

There may have been no successful backup at that time, or the domain's retention policy may have removed or reduced older recovery points. JitBackup cannot recover an edit that happened between backups if that version was never captured.

Drive's backed-up versions reflect what JitBackup collected. They should not be treated as a complete copy of every revision ever shown in Google's version history.

Are All Google Item Types Included?

The current Drive backup skips Google Maps and Google Sites item types. Other items can fail to download because of their individual permissions or restrictions. Check the job's item errors rather than assuming every item listed in Google has a recoverable backup copy.

Files in Google-native formats are exported for backup; their downloaded format may differ from the original app. See Download formats.

What Should I Do Next?

If you find an older usable version, restore or export only the needed item and verify it. If the item remains missing, record the source account, app, item name, approximate dates, and relevant backup error for your administrator. See What to include when asking for help.
