What Happens to Backups When an Employee Leaves?
A retained backup can help recover an employee's work after they leave, but protection depends on what was successfully backed up before their Google account became unavailable. Plan the handover before suspending or deleting the account.
Before the Account Changes
- Agree with the data owner which mailbox, files, contacts, calendars, tasks, and Shared Drives must be retained and who may access them.
- Confirm that the employee and required apps are enabled under Settings > Backup settings. Check Shared Drives separately.
- Run a backup while the Google account and required services are still accessible.
- Check that user's results and errors in History > Backup History.
- Browse or export representative items and test any recovery needed for the handover.
- Review retention before the Workspace administrator changes the account.
A checkbox or an old successful backup does not prove that the employee's latest work was captured.
Can I Still Find Their Existing Backups?
Use Restore from > Workspace Users to look for the original backed-up user. Check the domain, organizational unit, and search filters. If the user's address changed, provide the previous address when asking the administrator to locate the backup.
Stopping future backup selection is different from exporting or erasing the data already stored. Existing recovery points remain subject to retention and storage availability; do not assume an inactive account creates an indefinite archive.
Suspended or deleted users are not selectable for new backups in the users settings page. If data was never backed up before access ended, JitBackup cannot reconstruct it from the account name alone.
Can We Restore to a Colleague Instead?
Choose an available, authorized destination in the restore dialog. Confirm the full destination address and use a recognizable target folder, label, calendar, or task list. Follow Restore deleted data and verify the result in that destination.
Restoring content does not recreate a deleted Google account, restore its password, or automatically reproduce all of its access permissions. Your Workspace administrator handles account creation and the appropriate access for the recipient.
For a local handover copy, use Export backup data. Confirm that the recipient is authorized to receive the employee's data.
What About Their JitBackup Login?
If the employee also had a JitBackup console account, ask a System Administrator to review and remove their console access through Accounts. Review report recipients and shared storage access as part of the same handover. Changing a Google account is not a substitute for reviewing these separate accounts.
